What is an ERP?

One system for the whole business, instead of a spreadsheet for every department. Here is what that means in plain words, and what Innolabs does to set one up for you.

The short answer.

ERP stands for Enterprise Resource Planning. The name is stiff, the idea is simple: sales, stock, purchasing, accounting, payroll and your customer list all live in one shared system, instead of in separate files, apps and notebooks.

Because everything sits in the same place, information is typed once and then used everywhere. A sale reduces your stock, appears in your accounts and shows up in your reports, without anyone copying it from one sheet to another.

Most growing businesses start with spreadsheets, and that is fine. An ERP becomes useful when the spreadsheets start to disagree with each other, and someone has to spend their week making them match.

One sale, two ways.

Take a customer buying from your shop and paying by KHQR. Here is what happens to that one sale.

Without an ERPWith an ERP
At the counterThe cashier writes the sale in the till or a book. The payment arrives in the bank app, separately. The point of sale records the sale and the KHQR payment together.
StockSomeone updates the inventory sheet at the end of the day, if they remember.Stock goes down the moment the sale is made, and reordering can be triggered automatically.
AccountingThe accountant retypes the day's sales and matches them against the bank statement by hand, in USD and KHR.The sale is already in the books in both currencies, ready to reconcile against the bank.
TaxInvoices and tax figures are prepared separately at month-end.The invoice is issued through CamInvoice and the figures for your monthly declaration come from the same records.
ReportsThe owner waits for someone to compile the numbers, which are out of date when they arrive. The owner opens a dashboard and sees today's sales, stock and cash.

Signs you are ready.

Size is not the test: a single shop can start with point of sale and stock. The real test is whether several of these sound familiar.

Your systems do not talk

The till, the stock sheet, the accounting file and payroll are all separate. Month-end means reconciling them by hand.

The same data is typed twice

Your team spends hours copying numbers between files, and every copy is a chance for a mistake.

Compliance is a monthly scramble

Dual USD/KHR accounting, NSSF, withholding tax and e-invoicing are handled outside your tools, often in a rush.

You decide without numbers

By the time the report is ready, the situation has changed. You are steering on gut feeling because the data is late.

Isn't that for big companies?

Not any more. The ERP we work with, Odoo, is open source at its core and built from separate apps: accounting, point of sale, inventory, HR and payroll, manufacturing, CRM, website and more. You start with the parts you need and add others as you grow. A shop might begin with point of sale and inventory; an NGO with accounting and multi-currency budgets.

In Cambodia, small and medium businesses can also use the Enterprises Go Digital grant voucher towards going digital. Our packages are priced to fit it: see the packages and how to apply.

Software is the easy part.

An ERP is a tool. What makes it pay off is know-how: understanding how your processes should run, and cleaning them up before they are automated. Automate a messy process and you only get the mess faster.

Many businesses believe they are optimizing already. Spending hours maintaining Excel formulas is not optimization. Pasting unstructured data into ChatGPT and getting back a dashboard whose numbers nobody can trace is not optimization either: when the data is not structured and checked, the AI fills the gaps, and decisions get made on figures that were never real.

Real optimization starts with clean, structured data, recorded once, where the work happens. That is what a well set-up ERP gives you, and it is the base that makes AI genuinely useful instead of confidently wrong.

What Innolabs does.

Our job is to make Odoo fit the way your business actually works, improve the processes around it, and stay with you after it goes live. We have been building technology for Cambodian businesses since 2015, and we are an Odoo Ready Partner. Meet the team.

We learn how you work

Before any setup, we sit with the people who run your shop floor, warehouse and accounts, and map how orders, stock and money actually move. The system is built around that, not the other way round.

We set it up for Cambodia

Khmer chart of accounts, dual USD/KHR accounting, NSSF and withholding tax in payroll, CamInvoice e-invoicing and KHQR payments, configured from the start rather than patched in later.

We move your data

Customers, products, stock levels and opening balances come across from your spreadsheets or old system, so you do not start from a blank page.

We train your team

Training in Khmer and English, for the people who will use the system every day, not only the managers.

We build what is missing

When the standard apps are not enough, we write custom modules and connect Odoo to the rest of your world: banks, Telegram bots, POS hardware and IoT devices.

We stay with you

Hosting, updates and local support in your timezone. See support.
